About the role The Transportation Coordinator runs daily camp transportation operations, AM/PM routes, and mid-day field trips so campers get where they need to go safely and on time. You’ll manage rosters and manifests, dispatch drivers and bus attendants, communicate with families, and keep safety, supervision, and customer service at the center of every ride. This is a support role that reports to the Camp Director and School Transportation Manager.
Responsibilities
Lead daily transport ops: finalize route manifests/rosters, confirm driver/attendant coverage, and dispatch AM/PM runs on schedule.
Oversee boarding/deboarding procedures and stop supervision; maintain ratios and line-of-sight; enforce seat/child-restraint use per policy.
Coordinate field trip buses: bookings, timing, load plans, headcounts, site rules, and contingencies (weather/traffic/vendor delays).
Maintain active communications via radio/approved channels; run scheduled headcounts and check-ins; escalate issues promptly.
Partner with vendor/driver leads on route adjustments, substitute buses, mechanical concerns, and incident response.
Train and coach Bus Counselors on procedures, behavior expectations, confidentiality, and end-of-run sweeps (sleeping child checks).
Monitor safety and risk: heat/hydration, loading zones, traffic flow; identify and report hazards or maintenance needs.
Keep materials and systems organized (binders, emergency cards, first-aid kits, signage, radios); reconcile daily ridership.
Collaborate with Site Directors, Health Center, Inclusion, and Front Office to support individual needs and timely parent communication.
Meet or exceed ACA practices and Virginia child day program licensing standards (8VAC20-780); uphold school transportation policies.
Be punctual, prepared, and flexible; perform other duties as assigned by the Camp Director or designee.
Understand that duties/schedules may be adjusted by the Head of School (or designee) to meet program needs.
Preferred Qualifications
Experience coordinating school/camp transportation or comparable youth program logistics.
Strong dispatcher mindset: calm under pressure, excellent timing, clear radio etiquette, and meticulous roster/headcount habits.
Skill in customer service; professional, timely family communication.
Pediatric First Aid/CPR (or able to obtain and maintain); familiarity with emergency action plans.
Organized systems thinker comfortable with spreadsheets/rosters and basic GPS/vehicle-tracking tools.
Eligibility: Must be 21 or older by the first day of employment and able to pass required background/screening checks per School and Virginia regulations.
